How to Compare Accounting Software Without Getting Lost in Feature Lists
Every accounting platform's feature list looks the same on paper. Here's how to actually tell them apart before you commit.
Open three accounting software websites side by side and you'll see almost the same feature list on each one: general ledger, bank reconciliation, invoicing, reporting, MTD compliance. Feature lists are marketing copy, not differentiation — they tell you what a category of software does, not which specific product will actually work for your business.
Start from your actual bottlenecks, not the feature grid
Instead of scoring vendors against a generic checklist, write down the two or three things that currently cost your finance team real time: month-end close taking too long, bank reconciliation done by hand, multi-entity consolidation requiring manual spreadsheet work. Compare vendors against those specific bottlenecks, not against a list every vendor can tick.
Questions that actually separate vendors
- How does the platform handle Making Tax Digital submissions — natively, or through a bolt-on?
- What happens when you need a report your dashboard doesn't already have?
- How many entities or currencies can it consolidate before performance or pricing changes?
- What does the audit trail actually show an external auditor, and how far back does it go?
- Does it talk to your existing payroll and CRM tools, or will you be exporting CSVs?
Watch for the demo trap
A polished demo is designed to show the software at its best, on a dataset built to make it look effortless. Ask instead to see the exact workflow that's currently causing you pain — reconciling a specific bank feed, closing a specific month — recreated with realistic messiness. That tells you far more than a scripted walkthrough.
Total cost is rarely just the subscription
Per-user fees, per-entity fees, add-on modules for multi-currency or advanced reporting, and implementation or data-migration costs can all sit outside the headline price. Ask for the fully loaded cost at your actual headcount and entity count before comparing quotes.
The takeaway
The right accounting platform is the one that solves your specific bottlenecks at a cost you understand up front — not the one with the longest feature list. Get clear on what's actually broken before you start comparing vendors.
