The CRM Buying Checklist Nobody Sends You

Most CRM sales calls sell you the dashboard. Here's the checklist to work through before you ever get on one.

Most CRM sales conversations start with a dashboard tour: pipelines, forecasts, colourful charts. It's the part of the product built to look good in thirty minutes. The part that determines whether your team actually uses the thing every day — data entry, mobile use, integration with the tools reps already live in — rarely gets the same airtime. Here's what to work through before a single call.

Map your actual sales process first

Write out your real sales stages, not a generic template: what happens between first contact and closed-won, who touches the deal at each stage, what has to be true for it to move forward. A CRM that can't be configured to match your process will quietly get abandoned by reps who route around it in spreadsheets and inboxes instead.

Adoption questions, not feature questions

  • How much manual data entry does a rep do per deal, per week?
  • Does it capture activity automatically from email and calls, or does someone have to log it by hand?
  • What does the mobile experience actually look like for a rep between meetings?
  • How steep is the learning curve for a new hire in their first week?

Reporting you'll actually use

Ask to see the exact report your sales leader currently builds by hand in a spreadsheet, recreated live in the platform. If it takes a support ticket or a consultant to build a report you need weekly, that's a real ongoing cost, not a one-off setup task.

Integration reality check

Your CRM sits at the centre of quote-to-cash, marketing handoff, and support escalation. Confirm exactly how it connects to your finance and support tools today, not "via API" in the abstract — ask for the specific, tested integration.

Migration and lock-in

Ask what happens to your historical deal data, notes, and email history if you ever need to leave. Platforms with expensive or painful exports are a long-term risk, whatever the current price looks like.

The takeaway

A CRM succeeds or fails on adoption, not on dashboard aesthetics. Get your team's real workflow in front of the product before you get in front of a salesperson.
